Looking for CRM solution - administration of software sales.

We are looking for a solution (commercial and/or open-source) which allows the administration of our software sales, e.g. monitoring of each customer’s sales, license type(s), renewal of upgrade subscription etc. The software should enable us to easily monitor all license sales and related expiration dates of upgrade subscription (if any). For example, 30 days prior top the expiration of a 1 year maintenance and upgrade subscription, the customer should automatically receive a notification, e.g. info about the renewal process, prices etc.

Based on the license type and customer type (e.g. retail or educational) the CRM shall also allow the definition of different notifications and prices. Besides that, we would like to monitor the provision of trial versions, e.g. 5 days prior to the expiration of the trial version, the interested party shall receive an notification whether there are further questions, problems etc.

We are looking for an inexpensive solution, rather than a complex and expensive ERP installation. Something out of the box would be great, but we should be able to extend the CRM upon our needs.

I would highly appreciate any input, recommendations etc.

Dear Michael,
We are a start up marketing company that specialises in promoting executive coaching, organisational and developmental skills to the private public and educational sector in the UK.
One of our clients has just released a CD called the 18 challenges of Leadership and we had the same problem as you with licensing and monitoring etc.
However, since day 1 of the company and prior to that date, we have used out of the Box Act!2000 or its predecessors. Act 6! is now on the shelves.
It is a database for contact; alarms can be set to suit and you can compile one or x number of databases to cover say education, private public or just one which you can tag and then group accordingly. Cost £128 in the Uk single user. It works and works well for us, allowing us to set an alarm with a customer to notify us of contact or licence expiry etc. It also personalises the entries so you can determine who did what or didn't or should have done.
